Agree on the communication contract
At kickoff, decide where daily questions live, when written updates arrive, how working software will be demonstrated, who can approve decisions, and what deserves an urgent escalation.
A predictable cadence prevents both silence and constant interruption. It also helps the client bring the right people into the right conversations.
Communication feels calm when nobody has to guess where the truth lives.
Write updates around movement and meaning
A useful weekly update contains the outcome advanced, evidence or demo link, decisions made, current risks, decisions needed from the client, and the next focus. Keep it short enough to read.
AI can assemble a first draft from tasks, commits, and meeting notes. The project owner must add meaning: why the change matters, whether confidence changed, and what the client should do.
Raise risk while it is still inexpensive
State the observed fact, likely consequence, available options, your recommendation, and the decision deadline. Do not bury a risk inside a long status report or wait until you have a perfect solution.
Clients can handle difficult information. They lose confidence when difficult information arrives late or without ownership.
Keep a lightweight decision record
For consequential decisions, record the date, context, choice, alternatives, owner, and implications. Link the record from the project update so the history stays discoverable.
This protects continuity when stakeholders change and gives AI tools trustworthy context for future summaries. It also prevents the team from reopening settled debates without new evidence.
